To maintain efficient operations in your workshop, you need full control. This includes the ability to quickly invite new service managers, update access rights for current staff, and manage existing users of ConnectedWorkshop.
ConnectedWorkshop operates on two types of user access types: Users with Manager rights, and users with Basic rights. You can read more about both here.
This article dives into the newest updates to User Management in ConnectedWorkshop.
Where to find User Management for your workshops
The new User Management page is for you when you need to get an overview of all ConnectedWorkshop users that work in your workshop(s). It is also relevant for when you need to update the access rights of an existing user, or maybe even delete a user from the system if they have stopped working with you.
Simply click on your initials in the navigation bar to go to Settings and then click on User Management.
How to see and edit the rights of existing users
The User Management page lets you see all users in your workshop(s). If you have access to more than one workshop you can choose to filter on Workshops in the top left corner (1). You can also filter on rights (2) if you require an overview of only Manager rights users.
In the overview you can see the names, emails, user rights, workshops, and latest logins of all users. If you click on the row of a user you open the Access Rights function.
The check marks indicate what workshops the selected user has access to. If you have manager rights to the listed workshop, you can change the selected user’s access rights. If you have basic rights to the listed workshop, the change-functionality is grayed-out and cannot be accessed.
Note: It is only users with manager rights that can invite new users and update the rights of existing users. If you find that you do not have sufficient access to a workshop you must contact a manager in the system to update your access rights.
It is only Workshop Managers who can invite new users in the form of other managers or service advisors.
How to add a new ConnectedWorkshop user
Users with manager rights can easily invite new users to the workshop. Simply click on the Invite user button to get started.
Enter the email address of the new user first and go to the next step. The next step is to choose the access rights of the new users. Finish by clicking on Invite user in the modal. An email invitation will be sent out with the necessary onboarding information.
Note: you can only invite new users to workshops that you yourself have manager rights to.
See pending invitations
Have you recently invited a new user to your workshop or do you simply want to see if someone in your department already has an invitation in their inbox which they have not accepted, you can find the full overview in Pending invitations.
This overview lets you see all pending invitations as well as who invited them, when it was sent, and when the invitation expires. If you have manager rights of all workshops the user was invited to you can revoke the invitation by clicking on the three dots.
How to remove a user from a workshop in ConnectedWorkshop
Should a person stop working at your workshop you need to be able to remove them from having access to its vehicles and customers. If you have manager rights you can easily remove another user from your workshop in User Management. Here is how!
Find the person in the overview and click on that person’s row in the overview. There, you see which workshops they have access to and what level of rights they have. If the user has basic rights to your workshop, indicated by the blue circle and check mark, simply click it to disable the user access and rights, and finish by clicking Save.
Note: The user is not entirely deleted, although they can no longer access any customer data. To permanently delete a user please contact the Product Support Team.
