How to plan workshop capacity with the Predicted Service timeline

The Predicted Service timeline gives you a clear visual forecast of upcoming vehicle maintenance across your fleet. Instead of waiting for service requests to roll in or guessing seasonal demand, you can see upcoming volume spikes in advance and plan your workshop capacity with confidence.

Why use the Predicted Service timeline?

  • Prevent Bottlenecks: Spot busy weeks early so you can adjust staffing or shop capacity before issues arise.

  • Batch Maintenance: Combine upcoming predicted services with routine visits (like seasonal tire swaps) to save your customers extra trips.

  • Maximise Fleet Uptime: Keep customer vehicles on the road by spreading out maintenance evenly.

How to use the Predicted Service timeline

The Predicted Service feature gives you a clear visual forecast of upcoming vehicle maintenance across your fleet. Instead of waiting for service requests to roll in or relying on seasonal guesswork, you can see upcoming volume spikes in advance and plan your workshop capacity with confidence.

  1. Navigate to the Service Timeline: Located in your main dashboard menu. Select Predicted Service from the main navigation menu on the left side of your screen.

  2. Select Your Workshop : Click the workshop dropdown at the top of the page and select the single workshop location you want to view.

  3. Analyse Upcoming Service Volumes: Review the visual forecast.

Once selected, the timeline will load a visual graph showing predicted service volumes over the coming weeks and months:

  • Spikes (High Bars): High volume of predicted services, plan for extra bay capacity or reach out to customers to spread out appointments.
  • Valleys (Low Bars): Lower volume periods, ideal times to schedule larger repair jobs or promote proactive service check-ins.

Batch maintenance & book appointments

When a customer calls to book a service, check their vehicle on the list. If an oil change or secondary service is due around the same time, offer to complete both in a single visit.

Understanding the vehicle list & bundle opportunities

Below the visual timeline, you will find the Detailed Vehicle View. This table breaks down individual vehicles and highlights smart scheduling opportunities to save time and reduce workshop visits:

Key data columns

  • Model & License Plate: Identifies the specific vehicle in your fleet.

  • Service Date: The predicted date for the main upcoming routine service.

  • Oil Change: The predicted date when the vehicle will require an oil change service.

  • Days Apart: Displays how many days separate the predicted Service Date and Oil Change date.

  • Potential Revenue: Estimated revenue generated from completing these maintenance tasks.

  • Segment: Categorises the vehicle by age range (e.g., 0–4 Years, 4–6 Years, 6+ Years).

  • Actions: Displays smart callout badges like BUNDLE OPPORTUNITY.

What is a "Bundle Opportunity"?

A Bundle Opportunity appears when a vehicle has two maintenance needs (such as an inspection service and an oil change) due close together in time.

Tip :

Instead of bringing the vehicle into the workshop twice in a short span, reach out to the customer and schedule both services in a single visit.

How to filter for Bundle Opportunities:

Toggle the "Only bundle opportunity" switch in the top-right corner of the table. This instantly isolates vehicles where maintenance tasks can be combined, helping you quickly identify high-value outreach opportunities:
